Summary
Supports multi-state insurance licensing, corporate filings, and regulatory reporting to keep the company in good standing. This role focuses on coordination, organization, and deadline management. Responsibilities include managing calendars, documentation, and communications with regulators. Ideal candidates are detail-oriented, organized, and comfortable navigating varied regulatory frameworks. A background in legal, insurance, or compliance-related fields is helpful.

Key Responsibilities

1. Manage producer, adjuster, and agency licensing.

2. Oversee the licensing lifecycle for all licensed staff, including tracking licenses, appointments, new and renewal; monitoring dashboards and reports; and flagging expirations or issues.

3. Prepare and coordinate completion of required forms, signatures, notarizations, fingerprinting, and document submissions.

4. Monitor managed service partner reports and escalate delays or discrepancies.

5. Assist with regulatory reporting and filings.

6. Maintain organized records, filings, and correspondence.

7. Manage internal trackers, calendars, and reference materials.

8. Manage compliance inbox correspondence.

9. Assist Internal Audit process which includes data gathering and document review. 

10. Provide administrative support to the legal and regulatory compliance team.

11. Maintain active Notary Public commission for the State of Montana.

 

  • Qualifications • Undergraduate degree or equivalent administrative/clerical experience in a professional organization (Legal Administration experience preferred).  • Proficiency in Microsoft 365 (Word, Excel, Teams).  • Excellent organizational skills and attention to detail.  • Strong time management and ability to meet deadlines.  • Ability to follow and apply company standards consistently.  • Professional verbal and written communication skills.  • Comfortable prioritizing workload and collaborating cross-functionally.  • Exercises sound judgment and escalates issues appropriately.  • Curious, adaptable, and eager to learn new systems and processes.  • Familiarity with legal, insurance, or administrative environments a plus.  • Flexible and comfortable in a fast-paced, evolving environment. · Adaptable to fast-paced, frequently changing corporate structure and work environments Willingness to learn
